Personal data that we process
NewSpace Rentals processes your personal data because you use our services and/or because you provide them to us yourself. Below you will find an overview of the personal data we process:

  • First and last name
  • Sex
  • Date of birth
  • Birthplace
  • Address
  • Phone number
  • E-mail address
  • Bank account number
  • ID number
  • Property ownership information
  • Photos of the (occupancy) of the rental property
  • Location data of the smartphone/tablet/laptop when visiting our site
  • Information about your activities on our website, internet browser and device type

Other personal data
Other personal data that you actively provide, for example by creating a profile on the website, in correspondence and by telephone as part of your contractual agreements with NewSpace Rentals. Signing a cooperation agreement with NewSpace Rentals explicitly means that you agree that NewSpace Rentals is aware of your personal situation. Information that you have provided in a personal conversation and that is relevant to the collaboration or the implementation of the collaboration.

Special and/or sensitive personal data that we process
Our website and/or service does not intend to collect data about website visitors who are younger than 16 years of age. Unless they have permission from parents or guardians. However, we cannot check whether a visitor is older than 16. We therefore recommend that parents be involved in the online activities of their children, in order to prevent data about children from being collected without parental consent. For what purpose and on what basis do we process personal data?
NewSpace Rentals processes your personal data for the following purposes and on the basis of the following principles:

  • To be able to call you, email you or send you mail or goods if this is necessary to provide our services;
  • To be able to carry out a service order;
  • To be able to carry out a rental mediation or management assignment as a real estate agent;
  • To prevent damage and/or acute situations in the interests of the owner of the property and/or the tenant of (part of) the home;
  • NewSpace Rentals also processes personal data if we are legally obliged to do so, such as data we need for our invoicing and tax returns;
  • To inform you about changes to our services and products, to send our news updates and/or advertising brochure and to offer you the opportunity to create an account.

 

Automated decision making
NewSpace Rentals does not make decisions based on automated processing on matters that could have (significant) consequences for people. This concerns decisions that are made by computer programs or systems, without a human being involved (for example an employee of NewSpace Rentals).

Digital systems used for storing and processing personal data
NewSpace Rentals uses the following digital computer programs or systems to store and process personal data:

    • Personal Computers with Microsoft Windows Operating System
      The Microsoft Windows operating system is Windows 7 or higher. Most of our computer systems are equipped with Windows 10. We also have virus scanners and firewalls on every personal computer. This software is supplied by various parties. The operating systems, virus scanners and firewalls on all our computer systems are maintained (updates) in accordance with the regulations of the relevant suppliers.

    • Microsoft Office applications
      We use Microsoft Office software to edit personal data and exchange data by email, supplemented with reading software for .pdf files. All these applications are maintained (updates) on all our computer systems in accordance with the regulations of the relevant suppliers.

    • Router with Firewall for Internet access & secured wireless network
      We use a router with firewall for our internet access and a secured and encrypted (WPA2 with AES) wireless network for local access to our network. The router software will be updated within 3 months if updates are available. We also use a wired gigabit LAN network within our branch.

    • Resilio Synch application 
      This so-called “peer to peer” application is used for sharing and synchronizing files between NewSpace Rentals and the client. It is a private cloud program that stores documents locally and decentrally on your own laptop, PC, tablet or smartphone. No documents are stored in the cloud – third-party servers on the internet.

    • Backup Drive (NAS)
      All files containing personal data are also stored on a network drive (NAS) within our company network, to ensure the availability of this data in the event of a computer or hard disk crash on our PCs.

How long we keep personal data
NewSpace Rentals does not store your personal data for longer than is strictly necessary to achieve the purposes for which your data is collected. We use the following retention periods for the following (categories) of personal data: (Category) personal data > Retention period > Reason

Sharing personal data with third parties
NewSpace Rentals shares your personal data with various third parties if this is necessary for the execution of the agreement and to comply with any legal obligation. We enter into a processing agreement with companies that process your data on our behalf to ensure the same level of security and confidentiality of your data. NewSpace Rentals remains responsible for these processes. In addition, NewSpace Rentals provides your personal data to other third parties. We only do this with your express permission.

Transfer of personal data outside the EU
NewSpace Rentals shares your personal data with various third parties if this is necessary for the execution of the agreement. NewSpace Rentals only uses technical and functional cookies. And analytical cookies that do not infringe your privacy. A cookie is a small text file that is stored on your computer, tablet or smartphone when you first visit this website. The cookies we use are necessary for the technical operation of the website and your ease of use. They ensure that the website works properly and, for example, remember your preference settings. We can also optimize our website with this. You can unsubscribe from cookies by setting your internet browser so that it no longer stores cookies. In addition, you can also delete all information previously stored via the settings of your browser.

View, adjust or delete data
You have the right to view, correct or delete your personal data. In addition, you have the right to withdraw your consent to data processing or to object to the processing of your personal data by NewSpace Rentals and you have the right to data portability. This means that you can submit a request to us to send the personal data we have about you in a computer file to you or another organization mentioned by you.

You can send a request for access, correction, deletion, data transfer of your personal data or request for withdrawal of your consent or objection to the processing of your personal data tonfo@newspacerentals.com To ensure that the request for access has been made by you, we ask you to enclose a copy of your proof of identity with the request. Make your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen Service Number (BSN) black in this copy. This is to protect your privacy. We will respond to your request as quickly as possible, but within four weeks.

During the period of contractual cooperation it is not possible to delete your data. In addition, there is a statutory retention period of 7 years for certain data, for example data relating to financial transactions such as invoices and account statements.

How we protect personal data
NewSpace Rentals takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorized access, unwanted disclosure and unauthorized modification. We do this by, among other things, taking the measures mentioned under the heading “Digital systems used for storing and processing personal data”.

These measures primarily consist of well-secured network access to our wireless network, regularly updating the software and firmware of all our digital devices that are involved in the processing and storage of your personal data, and having virus scanners and firewalls on all our PCs, having a current operating system on all our PCs, having a firewall to the Internet and deliberately not storing your (personal) data and files on third-party servers. We also use strong passwords for our mail servers, website and local wireless network.

In addition, NewSpace Rentals has taken the following measures to protect your personal data:

  • Keys (including spare copies) of your real estate property are kept in a special key safe.
  • Documents including tenant file (in print) are put through the paper shredder after contract termination before they go into the paper bin.
  • Security of our web and email server:
      • TLS (formerly SSL) 
        We send your data via a secure internet connection. You can see this in the address bar 'https:' and the padlock in the address bar.

      • DKIM, SPF and DMARC are three internet standards that we use to prevent you from receiving emails on our behalf that contain viruses, are spam or are intended to obtain personal (login) data.
      • DNSSEC is an additional security (in addition to DNS) for converting a domain name (#company_website) to the associated IP address (server name); it is provided with a digital signature. You can have that signature checked automatically. This way we prevent you from being redirected to a false IP address.
